Why a defined method matters in Saudi Arabia
Most projects in the Kingdom touch several authorities at once. A company setup may involve the Ministry of Investment (MISA), the Ministry of Commerce (MC), municipal licensing through Balady, ZATCA for tax and the Ministry of Human Resources (HRSD) for staff. Each has its own platform, document rules and sequence. Without a clear method, files stall between agencies and nobody knows who is waiting for what.
Our method is designed to remove that uncertainty. It does not change what the authorities require, and it cannot guarantee approval, but it makes the work visible, documented and easy to follow for you and your team at headquarters.
1. A free first consultation
Every engagement starts with a free consultation by video call, phone or WhatsApp. We use it to understand your business, your timeline and what you want to achieve in Saudi Arabia. We ask practical questions: which activity you plan to license, whether you will import products, how many people you expect to hire and where you want to operate.
By the end of the call you should have a realistic picture of the likely route, the main authorities involved and the decisions you need to make. There is no obligation to continue. If your case needs something outside our scope, we say so plainly.
2. Written scope and fixed deliverables per phase
Before any work starts, we send a written proposal. It splits the engagement into phases, for example licensing, commercial registration, municipal and tax registrations, and post-setup compliance. For each phase it lists:
- The deliverables: the specific licences, certificates, registrations or reports you will receive
- What we handle and what remains your responsibility, such as signatures, notarisation abroad or bank meetings
- The documents needed from you to complete that phase
- The fees for that phase, agreed in writing before we begin
Phases make progress measurable. You always know which stage you are in, what has been completed and what comes next.
3. Transparent fees agreed in writing
Fees depend on the scope, the number of authorities involved and the complexity of your activity, so we quote each case individually rather than publishing a price list. What does not change is the principle: our professional fees and the expected government charges are shown separately and agreed in writing before we start. If the scope changes, for example you add a new activity or a product registration, we confirm the change in writing first.
We do not start chargeable work, and we do not pay government fees on your behalf, without your written approval.
4. A single point of contact
You deal with one named coordinator who knows your file from start to finish. That person collects your documents, tracks every submission, talks to the relevant authorities and answers your questions. You do not need to explain your case again each time you get in touch. We work in Arabic and English and support communication with teams in China, Türkiye, Japan and Korea.
5. A clear document checklist
Document problems cause more delays than anything else: an expired passport copy, a missing attestation, a name spelled differently between two papers. We send a checklist tailored to your case and review each document before submission. Typical items include:
- Parent company documents such as the commercial registration, articles and board resolutions, usually attested and translated into Arabic
- Passport copies and details of shareholders, managers and authorised signatories
- A power of attorney where we act on your behalf
- Product, technical or financial documents depending on the service

6. Weekly status updates on WhatsApp or email
Every week you receive a short written update by WhatsApp or email, whichever your team prefers. It covers what was submitted, what the authorities have responded, what is pending from your side and the next actions. When something important happens between updates, such as a request for additional information, we tell you straight away.
7. Government submissions and follow-up
We prepare applications, upload documents on the relevant platforms and follow up until each step is closed. Processing times depend on the authority, the completeness of the file and any additional requests, so we avoid promising exact dates. What we do commit to is active follow-up: checking status, responding to queries quickly and correcting issues before they become rejections.

8. A complete handover file
When the engagement ends, you receive an organised handover file containing every licence, certificate and registration, copies of submitted applications, platform accounts and access details, renewal dates and a short list of recurring obligations. Your team or your future accountant can take over without searching for anything.
9. Confidentiality and data protection
You share sensitive information with us: passports, corporate records, financial data. We handle it in line with Saudi Arabia's Personal Data Protection Law (PDPL), use it only for your engagement, limit access to the people working on your file and can sign a confidentiality agreement on request.
